Project Assistant / Administrator

We are a successful, fast growing, 25+ year old, family-owned commercial general contractor in the construction industry. We are seeking to fill the vital position of Project Assistant/Administrator. This key position reports directly to the Project Manager and is responsible for administering the pay application process, cost of project completion as well as all cost reporting and documentation for each assigned project. In this role it is essential that the individual have the ability to work in a team environment and build strong working relationships with the Project Manager, Office Manager, Controller, Superintendent/Foreman, Estimator as well as other key individuals in the organization.
Key responsibility for this position:

Administering the pay application process, cost to complete reporting, project reporting & project documentation, per project.
Other primary responsibilities include but are not limited to:
- Developing, maintaining, distributing, and collecting pay applications per job for final review by project manager.
- Administering lien waivers, schedule of values, insurance certificates, certified pay rolls, change requests, change orders, submittals, signed subcontract/PO agreements from subcontractors and suppliers per project.
- Timely maintenance and completion of accurate cost to complete report for a final review by the project manager.
- Maintaining and administering allowance tickets, extra work tickets, and material purchase orders per project.
- Verifying insurances, licensees, bonds, and signed contracts are in place.
- Setting-up job books for project manager, and field crew.
- Creating and distributing the start-up/close-out documentation for projects.
- Creating and maintaining accurate project files and documentation.

Attend start-up meetings.
Essential qualifications for success:
- BS in Business Management, Construction Management or related field required.
- 5-7+ years of successful construction project administration experience helpful. (Healthcare sector preferred.) or other related project administration position.
- Superior organizational and communication skills are paramount.
- Ability to effectively plan, implement & submit multiple tasks at same time is essential.
- Demonstrated punctuality and timeliness in meeting deadlines with accuracy.

- Windows OS
- MS Office, including MS Project
- Sage Timberline Office Software modules or similar software
